1. Organiser

By registering for Crossing Belgium you agree to these Terms & Conditions.

2. The event

Crossing Belgium is a 4-day expedition raid from the Belgian coast to the Ardennes, taking place from 12 to 15 November 2026, unless circumstances require the organiser to adjust the programme, timing or route.

The event combines disciplines such as running, hiking, mountain or gravel biking, canoe, navigation, via ferrata, abseiling, rope challenges and other outdoor activities. Participants acknowledge that outdoor activities involve risks, even when professionally organised.

3. Participation and team format

Participation is in teams of 4 (3+1 format): three members take part, one supports as coach-assistant. Roles may rotate between disciplines.

Participants declare that they have a good basic fitness level, are physically and mentally fit to participate, follow instructions from the organisation, respect other participants, staff, nature, equipment and locations, and do not engage in behaviour that endangers themselves or others.

The organiser may refuse or stop participation when safety or the event is endangered.

4. Registration

A registration is final only after confirmation by the organiser and receipt of the required payment. The person registering the team confirms they are authorised to do so and accept these terms on behalf of the team.

5. Prices and payment

Prices are listed on the website and include VAT, unless otherwise stated.

• fixed €1,000 deposit upon registration
• balance due by 1 October 2026

Payment instructions are sent after registration. In case of late payment, the organiser may, after prior reminder, release the team spot.

6. Cancellation by participant

Cancellation must be in writing via administratie@climbingmanagers.be.

• up to 90 days before start: 80% refund
• less than 90 days before start: no refund; transfer of the team spot may be possible with written approval

7. No right of withdrawal

Crossing Belgium is a leisure activity on a specific date. Within legal conditions, no right of withdrawal applies.

8. Changes or cancellation by organiser

The organiser may adapt route, planning, disciplines, locations, safety procedures or organisation when needed for safety, weather, permits, logistics, force majeure or other circumstances beyond reasonable control. In case of postponement, registrations generally remain valid for the new date. The organiser is not liable for personal costs (transport, accommodation, equipment, training, insurance), unless required by law.

9. Weather, terrain and safety

The event takes place outdoors. Safety instructions are binding. The organiser may shorten, adapt or cancel activities when necessary for safety.

10. Equipment

The organiser provides certain technical and safety equipment. Participants remain responsible for their personal gear (clothing, shoes, bike, helmet, lighting, drink and food). Equipment provided must be used correctly and returned in good condition.

11. Health and insurance

Each participant is responsible for their own health and fitness. Participants declare they are sufficiently insured for personal accidents, civil liability and any damage caused. The organiser provides reasonable safety and medical support but cannot guarantee that all risks are excluded.

12. Minors

Minors may only participate with prior written consent from a parent or legal guardian, and only if the organiser accepts their participation in writing beforehand.

13. Images

The organiser may use general atmosphere, group, team and event images for reporting, promotion, social media, website and communication. For recognisable individual portraits or targeted commercial campaigns, additional consent may be requested.

14. Intellectual property

All texts, photos, videos, logos, route concepts, programmes and other content remain the property of the organiser or the rights holders.

15. Liability

Participants take part at their own responsibility. The organiser is not liable for damage caused by failure to follow instructions, incorrect information from participants, insufficient preparation, normal outdoor risks, weather or terrain conditions, force majeure or behaviour of third parties, except in case of intent, gross fault or liability that cannot be excluded by law.

16. Privacy

Personal data is processed according to the Crossing Belgium Privacy Policy.

17. Complaints

Complaints may be submitted in writing via administratie@climbingmanagers.be.

18. Applicable law and competent court

These terms are governed by Belgian law. In case of dispute, the parties first seek an amicable solution. Failing this, the competent courts of the organiser’s registered office are competent, unless mandatory provisions state otherwise.
